property Supervisor


1. Role Objective
Ø To assist the Property Coordinator and the Property Manager and other UDC personnel in the complete management of UDC residential properties and communal areas.
Ø Coordinate with the Property Coordinator and service providers in the preparation of apartments and the handover of UDC owned units to tenants.
Ø Routinely visit assigned areas to ensure residential units and common areas are maintained to the highest standard to enhance property values.
Ø Provide high quality customer service to all UDC tenants and devise ways to improve the customer service and interaction with tenants.

2. Detailed Roles and Responsibilities:
General Overview:
Ø Coordinate with the Property Coordinator and the FM Company in the preparation of residential units. This includes scheduling units for handover, obtaining meter readings, checking each and every unit prior to the tenant moving in to ensure there are no issues and quickly resolve any issues which may arise.
Ø Provide high quality customer service to all UDC tenants, whilst maintaining verbal and written communications with tenants and service providers on issues related to the management of UDC owned residential properties.
Ø Monitor the works executed by the FM team and contractors to ensure the highest quality is being provided.
Ø Prepare reports and documents as instructed by Property Coordinator including weekly reporting, meeting agenda’s and meeting notes.
Ø Assist the Property Coordinator in preparing necessary reports for his/her meeting with the Property Manager.
Ø Maintain a database for all property management operations, and ensure all unit information and resident forms are received and updated. This includes updating any changes to the information currently held about the tenant and their lease.
Ø Conduct weekly meetings with FM team to discuss outstanding and new issues which may arise. This will require the issuing of meeting agendas and meeting minutes.
Ø Raise PRs for items which are needed for the common areas or units and oversee its deliverance in a timely manner.
Ø Cross check invoices and work orders and assist the Property Coordinator with the signing off
Ø Conduct quarterly key audits to have an overview on all keys in our possession aiding risk control.
Ø Distributing of access cards to residents and keeping track of the distributed cards
Ø Manage and allocate car parking allocations.
Ø Coordinate closely with other departments to assist tenants with utility bills and queries that may arise
Common Areas:
Ø Inspect the common areas of all RAM managed common areas to ensure it is clean, secure, presentable and snag free.
Ø Escalate any issues found to FM team and any other relevant departments to find a swift and quality resolution.
Ø Prepare common area reports which provides a detailed overview on issues found. This is to be tracked on a daily/weekly basis until resolved.
Ø Monitor and manage security deployment for RAM managed buildings and common areas.
Pre-Unit Handover
Ø Upon receiving request from Sales and Leasing that a unit has been leased/sold, Property Supervisor is required to inspect the unit and conduct a snag report which is to be shared with the FM team and inform them to prepare the Civil and MEP issues in relation to this residential unit.
Ø Ensure all snag lists and defects raised are resolved.
Ø Property Supervisor is required to provide the facility management and cleaning team with a schedule.
