Corporate Communications Coordinator

PURPOSE:
• Provide in-house administrative support to Corporate Communications Department operations ensuring seamless flow of activities, following-up with the support functions as and when required to ensure effective delivery of tasks assigned to these support functions.
KEY DUTIES/ RESPONSIBILITIES:
Strategic:
• Provide adequate administrative support to the employees within the Corporate Communications department to facilitate achievement of strategic objectives
• Act as key interface between Corporate Communications department and the organization.
Operational:
• Follow-up on employee requests and inquiries made to support functions to ensure they are resolved on a timely basis
• Liaise between Corporate Communications department and relevant support function on exchange of information to ensure a single point of contact.
• Coordinate mutual initiatives between Corporate Communications department and relevant support function. Such initiatives include strategic performance reporting, marketing requests, and legal requests.
• Collate and submit reports to the relevant support functions on operations of the Corporate Communications department ensuring proper formatting and presentation.
• Serve as the key contact person for external inquiries via phone, e-mails, visits and any other relevant channels as well as ensure they are responded to with required information or redirected to the responsible employees
• Participate in various corporate meetings as well as prepare meeting minutes and other requested follow-up documents as requested by the Corporate Communications Director.
• Maintain Corporate Communications Director daily schedule and update it accordingly to organize his/her daily routine
• Record any incoming and outgoing correspondence to keep track record of the document flow across the business unit/department
• Draft standard documents, forms and reports as requested by the Corporate Communications Director.
• Coordinate activities related to business travels including visas, tickets, transport, accommodation etc. liaising with admin and other support functions as required.
• Perform petty cash management for the Corporate Communications department issuing cash based on the approved guidelines, maintaining records and payment proofs, ensuring replenishments as required.
• Perform any other work related duties assigned by the Corporate Communications Director.
