Accounts / Admin Assistant

POSITION OBJECTIVES

Responsible for the day to day accounts operations as well as in the budget and P&L preparation, maintaining and updating the company’s accounting system while also providing administration and office related assistance in accordance with company policies and procedures.

KEY RESPONSIBILITIES

A. Accounts:

• Petty Cash Handling - responsible for maintaining petty cash and other cash accounts

• Verifies all requests for payments for purchase order as per company credit facility and company policy and procedures relating to payments.

• Prepares separate Vouchers and bank cheques, as per company policies and procedures

• Prepares and submits monthly bank reconciliation

• Ensures updating of Accounts in the company’s accounting system on a daily basis

• Ensures timely submission of Monthly Trial Balance, Profit & Loss Account& Balance Sheet

• Closely check all main accounts (eg: contractors’ accounts) to ensure that payment is in order.

• Prepares payroll summary and initiate necessary action, in consultation with Accounts Manager to issue salary payments

• Assist in the preparation of the annual budgets and P&L

• Supervise the input and handling of data and reports for the company's accounts systems

• Interact with internal and external auditors in completing audits

• Resolve accounting discrepancies

B. Office Administration

• Maintain and update data bases, computer software systems and manual filing systems

• Prepares, copies, files and distributes correspondence, data and reports

• Enters data into company management information systems

• Maintains office filing systems and assists with archiving files and records

• Process incoming and outgoing company mail as assigned and produce monthly reports from postage equipment

• Receive, sort and distribute departmental mail

• Greets Business Office visitors, answers telephones and schedules appointments

• Make conference and travel arrangements as directed

• Prepares purchase orders, check requests and travel forms as directed and tracks goods or services ordered

• Performs office tasks including writing letters and memos, maintaining a daily calendar and task list, and creating and maintaining spreadsheets and databases

• Interacts with staff, business partners, vendors, suppliers and the general public while performing various tasks

• Perform other related duties as required
