Administration Executive

We require an Administration Executive for our forward-thinking company. You will be supervising 12 members of staff and ensuring there is a happy and helpful atmosphere at all times for the clients welcome into our premise.

The Administration Executive handles office logistics, administration, accounting, and human resource management.



Responsibilities:

a. Administration

Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.

- Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.

- Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.

- Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.

b. Expense Budgeting

- Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.

iii. Salaries Setup and Salary Slips

c. Filing and Book-Keeping

• Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.

o Invoices and Receipts

o Customer Contracts

o Supplier Contracts

d. Job Orders Approval

• Making Sure projects have already signed contracts

• Making sure signed contracts have an invoicing schedule

e. Travel and Visa Logistics

- Track visa renewals for Saudi Arabia

- Track Iqamas

- Track Exit/Re-entry for Saudi Arabia

f. Bank Relations

- Coordination

- Approving Balances

g. Legal

Coordinate with the lawyer and auditor and any governmental agency to keep the company government compliant.

h. Coordination with Accountants for monthly statements

i. Human Resources

- Maintains office staff by recruiting, selecting, orienting, and training employees.

- Maintains office staff job results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results.

o New employee on boarding procedure

o Evaluations

o Attendance Reports
