A. Job Function Central Booking Head
(CBU Head)
a. To manage the smooth running of the whole CBU Department starting from the internal administrative work & ending with mistaken less outputs:
1- Updating your database on Media Space Availability (Inventory) & coordinate with the “Director of Marketing & Sales” & “Sales team”.
2- Updating your data base on Rate Cards change over, if any & communicate same to sales
Department.
3- Updating your data base/Computer on the yearlong special supplement issues dates &
Communicate it to Sales Department
b. Gather information from Principals & feedback same to related parties in order to answer their requests
c. Control the incoming flow of Media Orders Integrity
d. Prepare Advertising List for the Production Team
e. Coordinate with Sales Team in furnishing the artworks meeting the deadline
f. Follow up execution until end of printing
g. Liaising with the Finance Department in updating the final publishing order for printing of invoices
h. Efficient maintenance of revenue reports to support the sales forecast to be done & controlled
i. The monthly forecast deviation, if any to be detected
j. Design the Volume Rebate scheme for clients
k. Produce Sales performance report to support the appraisal procedure
B. Personal Assistant for the Director Of Sales & Marketing
(PA)
a. Performs responsible & confidential administrative & secretarial duties for the Director of Marketing & Sales
b. Assists & acts in a confidential capacity to the Department Head involving department operations including matters regarding the formulation, determination & effectuation of the management policies of the department regarding labor relations.
c. Conduct research, compile data, & prepare papers for consideration & presentation by executives, committees & boards of directors.
d. Attends meetings as the departmental representative & takes/transcribes notes on proceedings.
e. Assists in departmental budget preparation by gathering data required for budget / Revenue projections, performing routine mathematical calculations such as percentages & types budget / revenue document. Maintains records of subsequent budgetary expenditures.
f. Preparing advertising copy for recruitment of new staff, scheduling & interviewing candidate’s positions & contacting representatives of employment & temporary service agencies.
g. May schedule & attend confidential performance appraisal meetings
h. Review operating practices & procedures in order to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
