General Duties
The Executive Assistant is responsible for all administrative duties for SEDA General Secretary. Makes administrative decisions, handles correspondence, maintains files, makes appointments and serves as a liaison with the public as required. Handles details of a confidential and critical nature. Conducts her/himself with the highest degree of dignity, professionalism, and interpersonal effectiveness while exercising sound judgment. May have some project administration responsibilities. To be successful in this position, the candidate must be result oriented and have the demonstrated ability to effectively prioritize workflow.
Primary Responsibilities
• Co-ordinate the GS’s schedule, appointments, reservations and travel arrangements
• Organize meetings involving multiple senior executives
• Greet clients and visitors to the executive office
• Prepare and/or edit internal and external letters, faxes, memos and mass emails
• Tracking projects through from start to finish managing time, tasks, and involved individuals effectively
• Excellent typing skills with the ability to draft own correspondence
• Interact with senior executives, legal counsel, customers and vendors, potential consultants and corporate partners with a high degree of professionalism
• Make high-level contacts of a sensitive nature inside and outside the company
• Arrange complex meetings, including executive meetings, and handle all other meeting material preparation and logistics
• Process expense reports and assist with invoices for meetings and events in a timely fashion
• Efficiently manage large copy jobs and scanning of documents for archiving purposes
• Prepare presentation materials, cover/introductory letters, contracts, and other business documents
• Timely update and file documents adequately
• Effectively support and back up other executives and managers, for high priority meetings, deadlines, deliverables, and follow ups.
• Anticipate a variety of needs and problems and proactively suggest approaches and solutions
• Demonstrate a sense of urgency, initiative, responsiveness, and attention to detail
• Routinely handle internal and external inquiries by screening calls, answering questions, and redirecting to appropriate personnel.
• Coordinate domestic and international travel arrangements for company executives as well as advisors, consultants and other team members as necessary.
• Manage executives’ conference and arrangements.
• Create and maintain Annual Conference Calendar with important meetings and events
• Special projects and other duties as assigned
