Head of Facilities

1. Daily Management of the operations and maintenance activities for the designated facility/site to ensure that the facility is running at the optimal level in accordance with Operation Procedure Guide (OPG), ‘HSE’ Manual and other ‘QM’ policies, procedures & guidelines.
2. Management of the designated staff.
3. Production of daily/ weekly/monthly progress reports covering MEP related operations/maintenance & cleaning and landscaping services, ensuring service providers are up to date on the assigned jobs.
4. Operation & Management of the Building Management System (BMS), Building Information Management (BIM) & Computer Aided Facility Management (CAFM) Systems, Enterprise Resource Planning System (ERP).
5. Proactive role in the Planned Preventive Maintenance (PPM), Corrective Maintenance, Emergency/Breakdown Maintenance & the Condition Based Maintenance of the associated Equipment/Facilities to ensure that the work progress is accordance to the plans & the budget.
6. Pro-active role in the area of Systems Strategic Planning and constant monitoring of the obsolescence of the systems and initiation of timely action for the upgrading of such systems.
7. Pro-active role in enhancing operations by implementation of “Reliability Centered Maintenance” (RCM), “Sustainable Energy Management” and any related methodology/principals. For the energy conservation initiatives, review of the monthly reports indicating water, electricity and diesel/gas consumption details and recommending necessary control measures to reduce the consumption of energy and water by way of set point adjustments, power factor adjustments and use of better Star Energy equipment.
8. Root Cause Analysis related to the failures & breakdowns of the equipment as well as failures & breakdowns in the chain of command and communications. Similar analysis pertaining to the cases of “Near Misses”, “Accidents” & “Incidents” with an aim to mitigate the possibilities of re-occurring of such “uncalled-for” events.
9. Management of the warranty claims and renewal of the warranties for the designated site.
10. Procurement of fast moving spare parts & initiation and supervision of site enhancement small projects.
11. Interpretation of as built drawings and supervision of any changes to the building fabric.
12. Production of Scope of Work and subsequent evaluations of department related tenders.
13. Inputs towards the preparation of department’s annual Capital & Operational budget. Work within the approved budget for the year.
14. Identification of FM strategic goals, skills gap in team as well as training requirements for FM staff.
15. Support to the designated site’s Operations Division, Education Division, Communications Division & Collections Division, as and when required.
16. Taking over of the newly constructed facilities from the contractor and commissioning of such facilities.
