As the Executive Assistant Secretary office manager to the senior management team in the company you will be expected to work closely with them providing administrative support usually on a onetoone basis. You will be expected to provide support to the level that will ensure the senior management team can make the best use of their time by dealing with all secretarial and administrative tasks. As Office Manager the job holder will be expected to ensure the smooth running of the office and provide support to the other business heads to ensure that they are able to utilize their time in the most effective manner.


Job descriptions


• Complete all secretarial tasks for the senior management team and manage the diary effectively.

• Screening telephone calls enquiries and requests and handling them when appropriate

• meeting and greeting visitors at all levels of seniority

• organizing and maintaining diaries and making appointments

• dealing with incoming email faxes and post often corresponding on behalf of their manager

• taking dictation and minutes

• Assisting the senior management team to produce documents briefing papers reports and presentations

• organizing and attending meetings and ensuring the senior management team are wellprepared for meetings

• liaising with clients suppliers and other staff

• controlling and managing any communications or requests in the senior management team absence

• devising and maintaining office systems including data management filing etc.

• Arranging travel and accommodation for senior management team.

• Managing all arrangements for incoming visitors including hotel and accommodation

• Update the management team about local international conferences exhibitions seminars sessions related to the business or not so they will be able to attend them.

• liaising with the parents companies and the company subsidiaries.
